Terms and Conditions
The agreement between you, your church, and Great Ministers when you use the app.
Last updated 1 November 2026
1. Who these terms are between
Great Ministers is a church management platform operated by Great Ministers ("we", "us"). Each church that uses the app is a separate organisation with its own workspace, its own administrators, and its own responsibility for the people it invites.
By creating an account, accepting an invitation, or signing in, you agree to these terms. If you do not agree, do not use the app.
2. Accounts and invitations
Access to a church workspace is by invitation only. Your church administrator creates your member record with your name, email address, phone number and date of birth. You may not create an account on behalf of someone else, share your login, or let anyone else use your account.
Accounts must be verified before a church workspace opens. Verification matches the date of birth and phone number you provide with the record your church holds. Repeated failed attempts are rate limited. If your details are wrong, ask your church administrator to correct them — you cannot change them yourself, by design.
You must be at least 16 years old to hold an account. Keep your password private and tell your church administrator immediately if you think someone else has accessed your account.
3. Acceptable use
You agree not to:
- access or attempt to access any record, church or workspace you have not been given access to;
- use the app to harass, defame, or unlawfully process another person's information;
- upload anything malicious, or attempt to disrupt, probe, or reverse engineer the service;
- use the app for anything unlawful, including fraud or misrepresenting a Gift Aid declaration.
We may suspend an account that breaks these terms, and your church administrator may remove your membership at any time.
4. Your church's data
The services, rotas, availability, messages, people and sermon records in a workspace belong to that church. The church administrator decides who can see and edit what. Great Ministers provides the app and the hosting; it does not decide what your church records, and it does not sell that data.
If you are a church administrator, you are responsible for having a lawful reason to hold your members' details, for keeping them accurate, and for removing people who have left.
5. Payments, giving and finance records
Subscriptions, gifts, event tickets and Direct Debit collections are processed through third-party payment providers. Card details are entered on the provider's checkout page and are never stored by this app. Full bank account numbers for Direct Debit are never stored here either — only the last four digits and the mandate reference.
Finance figures in the app are the church's own records, not a bank statement. Gift Aid and Direct Debit submissions remain the church's legal responsibility: check every figure before you claim or collect, and keep the paperwork your bank, bureau or HMRC requires.
6. Availability of the service
We work to keep the app available and accurate but cannot promise uninterrupted service. Features may change, and maintenance may take the app offline briefly. If a subscription lapses, the church's workspace may be limited to read-only or suspended until payment resumes.
7. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, we are not liable for indirect or consequential loss, or for loss of profits, goodwill or data, arising from your use of the app.
8. Ending your use
You may stop using the app at any time and delete your account from your profile. Your church administrator can remove your membership, and we may close a workspace that breaches these terms. Records that a church must keep for finance or safeguarding reasons may be retained after your account closes, as described in our Privacy Policy.
9. Changes to these terms
We may update these terms as the app changes. Material changes will be announced in the app before they take effect, and continuing to use the app after a change means you accept it.
10. Law and contact
These terms are governed by the law of England and Wales. Questions about them can be sent through the contact form, and your church administrator can raise anything on your church's behalf.
